Ted Garrison's Room and A-V Set-Up Requirements

Just like a restaurant's ambiance can enhance the enjoyment of a meal, Ted's set-up and A/V requests enhance the program for the ultimate benefit and enjoyment of the audience.

We are flexible, but would appreciate if you would discuss any changes with us beforehand. We are certainly not trying to create a burden on you, but often just a little extra effort can mean a great deal to the outcome of the event. A poor room layout can damage even the best presentation.

Audio Visual Materials

  • If the event is being recorded or there are more than 40 people then a wireless lavaliere microphone is required. This allows Ted to move around and interact with the audience.
  • Ted will bring the presentation on his laptop PC. He will also bring the program on a thumbnail USB drive.
  • Ted provides a remote control: he prefers to use his own because it has a timer built into it.
  • You provide the screen and computer projection system.

Staging

  • Ted typically does not use a podium as he walks around the room during his presentation. If a podium is present for other speakers, then there should be room for Ted to walk in front of it.
  • Ted does not usually require a platform or riser for most audience sizes. If a riser is in the room there should be room for Ted to walk in front of it.
  • For large groups the room should be set up in either theatre or classroom format. There should be a middle aisle(s) and side aisles on both sides of the room.  The first row should be about 6 feet from the platform.
  • For small groups: a U shaped arrangement is preferred if the room will accommodate it; if not a typical classroom style arrangement is acceptable.

(These layouts are essential for longer half-day and full-day programs).

Lighting

  • The lighting should be dimmed in front of the projector; if necessary the lights over the screen should be unscrewed in order to allow the house lights to remain up during the presentation.

Recording

  • A/V taping is encouraged, but please let us know beforehand.

Introduction

  • Please download Ted's introduction (www.TedGarrison.com) and use this to introduce Ted to your group.

Hotel and Travel Arrangements

  • Hotel room reservations (non-smoking king bed) preferably at the same hotel where the meeting is to be held, are to be secured by the client.
  • The room should be guaranteed for late arrival and should be billed directly to your organization.
  • Ted will book his own airfare, non-refundable, coach fare, round trip. If he is traveling from another event then the airfare will be prorated.

Ground Transportation

  • If you are planning to arrange ground transportation (to and from the airport) let our office know who will be picking Ted up.
  • Otherwise, we plan on taking a cab or securing a rental car. Cab and rental car expenses including rental car gas and parking are reimbursable by client.

Other Expenses

  • The cost of any materials to be provided by speaker will be agreed to prior to expenses being incurred.
  • Any special expenses that are to be itemized and reimbursed by client will be agreed to prior to the expense being incurred.
  • All other travel expenses; including airport parking, tips, food, etc. is covered by a $80 per diem.

Payment of Fee

  • Per the program confirmation, 50% of the speaking fee is due to finalize any speaking engagement and the remaining balance is due within 30 days of presentation. Speaker will provide a final invoice including all travel expenses.
  • Please refer to Program Confirmation available under Meeting Planners on Ted's web site (www.TedGarrison.com).

Pre-Program Questionnaire/Information

  • Please send us any information such as industry magazines, company history, recent newsletters, or product brochures that will increase Ted's understanding of your business or organization, its products or services, people, and challenges.
  • If requested, complete the Pre-Program Questionnaire and return to us via fax, email or snail mail. Also, if available, please send us a copy of the program that will be used for this event.
  • If requested, provide a list of industry or association experts with contact information so that Ted can interview them by phone to gain additional insight into your business or organization.
